Privacy Policy

OHINT is a work app. Companies that use OHINT give it to their employees for attendance, self-service and field sales. You sign in with an account your employer creates for you; there is no public sign-up. This policy explains what the app collects, why, and who can see it.

1. Who is responsible

• Your employer is the data controller. It decides which features you use, whether your location is tracked during your shift, and how long records are kept.
• High Integration (OHINT) runs the app and the OHINT service and processes the data on your employer’s behalf, as its processor.
• Questions about how your employer uses your data go to your employer first. You can also contact us at any time.

2. What the app collects

• Account and device: your work email; your password when you sign in (sent encrypted; our server stores only a one-way hash); sign-in tokens; your phone’s Android ID, used to link your account to one phone; a push-notification token; the app version.
• Employee profile, from your employer’s system: name, job title, company, work email, your assigned work sites, and whether location tracking applies to you.
• Attendance: check-in and check-out times, your location at each, and the work site detected.
• Shift location, only if your employer marks you as a tracked employee: see section 3.
• Device status (“heartbeat”), sent with each shift location: whether GPS is on, which location permission you granted, whether battery optimization restricts the app, the app version, whether the app was open, and any period without a location and its reason.
• Self-service: leave requests and balances, timesheet entries, activities assigned to you in Odoo, and approvals you make.
• Field sales, if your company uses it: the customers assigned to you and customers you register (name, phone number, map location); visits (purpose, note, time, location); quotes and sales orders; payments you collect (amount, method, invoices); delivery confirmations, including the customer’s signature.
• Notifications sent to you, for example a customer payment, an approval request or a check-out reminder.

Optional biometric sign-in: the fingerprint or face check is done by Android on your phone; we never receive biometric data. If you turn it on, your sign-in details are kept encrypted on the phone only.

The app does not access your contacts, photos, files, camera or microphone, and it contains no advertising, analytics or crash-reporting software.

3. Location during your shift (background location)

• If your employer marks you as a tracked employee, the app collects your location every minute between check-in and check-out, even when the app is closed or not in use.
• Tracking starts when you check in and stops when you check out or sign out. Location is never collected outside your shift.
• While tracking is active, a notification is always shown: “OHINT is recording your location during your shift”.
• Before asking for location permission, the app explains this on a full screen. You can decline; your employer may then not allow you to check in from the app.
• If a location can’t be sent (for example, no network), it is kept on the phone and sent later. Locations left over from a previous shift are discarded, not sent.
• Employees who are not tracked: the app reads location only at the moment of check-in and check-out.

Shift location is used to record attendance and field-visit routes, confirm presence at work sites, remind you to check out if you leave your site while still checked in, and, together with the device status data, detect interruptions in tracking.

4. How the data is used

Only to provide OHINT to your employer: attendance and working-time records, leave and timesheets, field sales and collections, notifications, security (one account per phone, preventing misuse) and support. We do not use your data for advertising, we do not sell it, and we do not share it with data brokers.

5. Where it is stored and who can see it

• The app sends data over HTTPS (TLS) to the OHINT service, which stores it in your employer’s OHINT/Odoo system. Your employer’s authorised staff, such as HR and your manager, can see it. OHINT staff access it only to run and support the service.
• Service providers that receive data from the app:

• Google Firebase Cloud Messaging delivers push notifications. It receives a device token and the notification content.
• OpenStreetMap tile servers (tile.openstreetmap.org): when you open a map, your phone downloads the map images, so the server sees your IP address and the area shown.
• Android’s geocoding service (Google Play services) turns a visit’s coordinates into the street address shown in the app. It receives those coordinates.

We may disclose data where the law requires it.

6. How long data is kept

• On your phone: unsent locations until they are sent, or until your next shift starts; sign-in tokens until you sign out.
• On the server: as long as your employer keeps the records in its OHINT/Odoo system, under its own retention rules (for example, labour or tax law). When your employer’s OHINT subscription ends, we delete its data from our servers within 90 days, unless your employer asks us to return or keep its data, or the law requires us to keep it.

7. Security

HTTPS (TLS) for all connections; sign-in tokens kept in encrypted storage protected by the Android Keystore; passwords stored on the server only as a one-way hash; one account per phone; access to records limited by role.

8. Your rights

Depending on the law where you work (for example Saudi Arabia’s Personal Data Protection Law, Egypt’s Law No. 151 of 2020, the UAE’s Personal Data Protection Law or Jordan’s Personal Data Protection Law No. 24 of 2023), you can ask to access, correct or delete your data, or object to some processing. Send requests to your employer, or to sys@ohint.net; we will pass them on and help your employer answer within 30 days. You can turn off location permission in Android settings at any time; if your employer requires tracking, you may then not be able to check in from the app.

9. Children

OHINT is a work app for employees and is not intended for anyone under 18.

10. Changes

If we change this policy we will update this page and its effective date. Important changes will also be shown in the app or sent through your employer.
